The expression our satisfaction with Sourcelink

[01/27/2009] Sourcelink allows us to scan any document and attach it to any transaction in QuickBooks. These documents can be pictures, single documents, multiple documents or complete folders. Then, we are able to open a record in QuickBooks and immediately view all of the attached pertinent documents. This advanced product keeps records in order and error-free, while saving time.

SourceLink has provided us effective and easy solution to manage paper documents. We no longer need to file, store and research bills. They are at our finger tips saving time and money. SourceLink is elegant, intuitive and powerful! I don't have to worry about filing. TurboFolder does it for me. I wanted something that was easy, fast and well-designed and SourceLink is our solution. My documents now go from the scanner to the shredder and with proper backup I have the assurance I can locate them as needed. SourceLink saves time and storage space. It gives multiple users access to the same source documents in QuickBooks.

[12/30/2008] I am a QuickBooks ProAdvisor and work with a lot of different kinds of clients, some who write 1-5 invoices a month with a few clients, and others who have massive amounts of documentation supporting their hundreds of clients. SourceLink is easy to use and easy to set up. Once the user understands the various methods of linking files, there is virtually nothing that can't be linked. Scanning documents is easy. Creating new folders and sub folders is easy. It is an easy piece of linking software.
One thing I appreciate is the folders and files and scanned documents are not embedded in QuickBooks, but are on the client's hard drive (or elsewhere) and can be accessed directly through Windows Explorer. The cost is worth it and I highly recommend it to anyone who needs to keep documentation together for any reason.

After a nightmare experience with my computer, I ended up installing a new hard drive, and encountered some installation and configuration problems with SourceLink. I just love this program and really depend on it and it was very important to me to get it up and running quickly. Each of my calls was answered with courtesy and professionalism, and all of the issues were resolved quickly. I will recommend this program to any other QuickBooks users I meet, not just for its usefulness, but for the quality of the support behind it. My experience with your company was a bright spot in an otherwise dreadful ordeal! Thank you again for all your help!

[12/26/2008] I strongly recommend you get a demonstration of this software so you can see how easily and effectively it allows you to organize the documents that support your QuickBooks transactions. With the ability to link a scanned document to a particular transaction you can save a lot of time looking for the necessary paperwork when creating a sales invoice or paying a vendor bill. In addition it helps you secure better internal controls by having direct access to the original document from within QuickBooks, as well as the ability to route documents for approval.

[08/28/2007] Installing this software has simplified the accounting nightmare of organizing that stack of invoices and other documents. Easy to install, straight forward use. Had to call Tech Support twice (my fault, not theirs) and they were quick to educate me or fix the problem. I look forward to future releases as I'm sure they will offer great things! All this for <$200.

[02/23/2007] Sourcelink allows you to attach as many documents as you want. Besides documents, you can attach folders that can have as many files as you want.
There is a Management Edition of Sourcelink 4.1 where QuickBooks users can now use the rule- and or role-based approach to support auditable and enforceable processes that can apply directly to financial account management, credit management and fraud prevention.
Furthermore, SourceLink 4.1 ME administers automatic detection of and response to potential risks. These risks include approval of required account receivable transactions, account payable entries, dormant accounts access or fraudulent transactions.

[08/16/2005] This software offers a solution for those who want to maintain the images of receipts or other financial documents linked to QuickBooks records. Here's what I've noticed. I've been using it on and off for about three weeks now, so there may be other features and issues I haven't noticed yet.
Interface: the program provides a small Sourcelink Window in which users can see the names of image files or for that matter any file that they choose to link to a QuickBooks record. Up to 10 filenames can be provided per record, and to view these files you click the name of the file as displayed in the Sourcelink Window. The result is the same as launching that file from the Windows Explorer and so it will bring it up in whatever application is your handler for its file extension. There was a slight problem with viewing the Sourcelink Window, depending on your Display Adapter and Windows Appearance settings. Sourcelink Tech support was very available and responsive to my feedback and they solved the problem with an upgrade very quickly.
Advantages: the program is easy to install.
The program is unobtrusive - if you don't open the Sourcelink Window you're not aware of it at all when you view records, even if files are attached to them. I understand that you can also give your QuickBooks file to someone else who doesn't have Sourcelink (like your accountant) for editing without losing all the linked information when your accountant gives you back the file.
Disadvantages: I have not had any difficulties so far.
Suggestions: It might be helpful to be able to 'dock' the Sourcelink window, or to make it a toolbar in QuickBooks. On the other hand, it may be that QuickBooks interface to add-ons won't allow this.

This affordable QuickBooks add-on is a great way for small businesses to get into document management. In addition to linking a file of any type that has an associated program that can display it, this tool also has the ability to add “sticky notes” using the “MyNotes” and “Hot Notes” features to a QuickBooks record (many transactions and lists).
With up to 10 records, plus MyNotes and HotNotes, attached to a single QuickBooks record this tool works great for managing work flow, easy filing and retrieval of accounting related documents as well as any other files to make the work flow process more efficient.
For us, changing the configuration to automatically prompt us each time we save a document has made the implementation easy. It has really encouraged us to change our procedures as we are using QuickBooks to avoid the temptation to abandon the project.
Pros:
Ease of Use – Within the configuration there is check box to always prompt at “save.” What this feature does is will display a pop up box as each transaction is saved which asks if you would like to add a link.
Multi-User Capability – The SourceLink supports Multi-User environment the same was a QuickBooks does.
Open Item List – The MyNote can be assigned as a HotNote. If it is listed as a HotNote, the user can pull it up from HotNote list, which is available from the SourceLink menu or QuickBooks submenu. It is a great communication tool between the SourceLink users, so they can leave any important messages or work reminders.
Find Feature – Open SourceLink from QuickBooks, or use the SourceLink Search feature to find the record and open the QuickBooks record. In the field that requires Full Name (for example, customer name in Invoice search), SourceLink also provide an extra tool to search the appropriate name with flexible criteria.
File Type – The SourceLink allows the user to link any type of files. The user can link MS Word document, Excel spreadsheet, and scanned invoice with customer sign, eFax document, and more. There are users who are linking their clients’ photo to the QuickBooks Customer list
Flexibility – from the file pull down in QuickBooks it is possible to launch SourceLink from any of the 25 supported transaction types. The SourceLink choices include both linked files, MyNotes, and HotNotes.
Cost – At only $189 for a single user license, this product is a cost effective solution to “try out” going paperless.
Cons:
10 document limitation – Due to this limitation, extensive work paper management, weekly timecards, etc. is not practical with this solution.
Security – This product is designed for attaching documents to the QuickBooks record but does not place any controls on the document itself, which users can use the tool, etc. SourceLink maintains the security of Windows own file management system.
File retrieval protocol – The file can be save anywhere so other users may not have access to the saved file when accessing QuickBooks data from another computer.
Navigation – If you open record A in QuickBooks and view the SourceLink information, and then want to see the SourceLink information for record B that is open in QuickBooks, navigating between the two in SourceLink is cumbersome. First close SourceLink then click on the QuickBooks menu bar pull down to navigate to MyNotes or linked files to view the information associated with record B. When attaching files to a record, it is important to note this process; otherwise it is quite easy to attach files to the incorrect record.
Navigation Note – There are control arrows at the bottom of SourceLink will permit moving from one transaction that has MyNotes, HotNotes, or linked files. However, this does not help if record B does not have anything associated with it yet. (addressed in update below)
Update as of July 18, 2005:
Personable has just announced a new release of their SourceLink product and we are pleased to say that our suggestions were taken to heart:
In our opinion the most significant changes are:
1. The new version will let the user by pass the “File > SourceLink > Start . . .” procedure and synchronize the SourceLink with QuickBooks record with one mouse click. So the user can save time when linking many transactions.
2. The new version will offer more options from “Report Linked Files…” menu item. You will be able to know what transactions you have done in a date range without a type. And, the “x” of the SourceLink window will let you save the contents also.
3. In the new version, it will make the “all files” as the default instead of the image files.
