Successfully managing operations with EDI, barcoding and mobile technology using ACCTivate!

[06/29/2009]  Our company uses EDI to do business with over 25 stores and within our 500,000 square foot warehouse we manage over 11,000 bar coded locations. ACCTivate! has helped us manage these specific operations as well as our business overall. Now that we’ve integrated ACCTivate!, which has automated more steps involved in the process. Orders go into ACCTivate! directly and there is no need to key information into the system. Implementing EDI was simple as well. We connected to over 20 EDI trading partners in one day and the process was transparent on our side. We provided information, there were some tweaks here and there and we were up and running by the afternoon the same day. For our mobile needs, ACCTivate! Mobile allows us to manage our inventory more accurately and has taken a heavy burden off of some of our processing staff. With ACCTivate!, we have experienced substantial time savings and improved accuracy in several areas of our business. Also, all of our information is in one system since it integrates with QuickBooks. Prior to ACCTivate!, we managed our business in QuickBooks and another inventory system separately. Managing the data between two different systems and trying to balance it out was a headache. ACCTivate!’s integration to Crystal Reports for reporting was one of the reasons we chose ACCTivate! over a competitor. I like that all the information is stored in one database and can easily be brought up for reporting. This is a major improvement compared to storing information in spreadsheets as we did before. Being able to customize based on our business model is also a plus. I like the custom fields — a lot of other systems we looked at didn’t have custom anything. We are also very pleased with the customer service and support. The staff is very responsive. We get the courtesy, knowledge, know how and patience we deserve that we didn’t get with our old system.

[06/18/2009]  We are a chemical manufacturer and have found ACCTivate!’s simple manufacturing capabilities simple and user-friendly. We’re lot-based, so you go in and do your assemblies; pull your raw materials and it gives you a selection of all the lots and how much is available for you to draw from and it immediately updates all your inventory. It’s doing the manufacturing so we can get all the costs rolled into the cost per pound or cost per set. ACCTivate! has really benefited us in a number of areas from efficiency to just better inventory planning and purchasing. Prior to ACCTivate! we managed inventory manually in Microsoft Excel, used Microsoft Dynamics for business management and handled financials in QuickBooks. Microsoft Dynamics was way too complex for us because we are a smaller organization. ACCTivate! fit our needs for our business size and the resources we have. ACCTivate! was simple enough to be trained on, to populate the data that we needed and integrate with QuickBooks, so that we could get up and running on limited money and limited people. We don’t even have a full-time IT person on staff, so we needed something that wasn’t so technical. Before ACCTivate!, we only updated our inventory once a month, did a physical count, and had a final inventory. We also couldn’t really do any kind of analysis, so it was hard to determine purchasing needs. Overall it’s just been a tremendous time efficiency and I know that’s only going to continue to improve. Even from where we were a year ago to where we are now, it’s a complete transformation.

[06/15/2009]  We were not impressed with Acctivate. Support was poor. You may email them for free (as long as you subscribe to their service plan) but the response time can be a few days. And they charge $125 hourly for support calls even if you do have the service plan. The functionality of the program isn't all that good either. There are far too many key strokes to accomplish simple tasks. Personally, I do not recommend this software. However, they have new software out that may have alleviated this problem.

[06/15/2009]  We have been using ACCTivate! since 2005 to manage our fashion and home accessories business. ACCTivate! has successfully allowed us to manage our business operations worldwide. We handle distribution in the U.S. and our product design and manufacturing is based in Kenya, Africa. In the U.S. we enter orders in ACCTivate!, Kenya prints the orders out using the system, fulfills the orders and ships the finished product to the United States. ACCTivate! also enables us to have a virtual office for every one of our sales representatives across the United States since all the information is accessible within one system. From the start we have received quality support from the ACCTivate! team and are very impressed with how smoothly our QuickBooks information synchronizes with ACCTivate!. We plan to expand are market to other countries and know that ACCTivate! will be able to handle our growth and continue helping us manage our operations.

[06/12/2009]  We’ve been using ACCTivate! since 2006 to manage our home décor and furniture business. We started with QuickBooks and tried to make it work for us. It was great for financial information; however, it quickly became apparent that we needed a better way to handle customers, orders and inventory. We also needed a fast and integrated way to process credit cards and a system smart enough to coordinate it all because we were getting to the point where we were going to hire someone full-time just to process credit cards. ACCTivate! was the perfect match for our needs. ACCTivate!’s standard integration to QuickBooks Merchant Service credit card processing solved our credit card issue as well. We simply enter the credit card in ACCTivate! and it is automatically processed online. We have also seen dramatic improvements with our customer relationship management. With ACCTivate!, I can quickly see any action item like a customer service issue or complaint that we’re working on. I’m never caught by surprise anymore. The productivity gains from ACCTivate! have at least doubled our productivity. If we kept going the way we were, we would have needed at least one more person on staff. So in that respect, ACCTivate! more than paid for itself. It does everything that we need and is very adaptable for a wide variety of businesses.

[06/11/2009]  We are a retail store that specializes in salt water marine life and aquatic supplies. Every fish we have is maintained in ACCTivate! as a product with its own unique Product ID and if we lose a fish we’re able to simply perform an inventory issue transaction. The standard reports ACCTivate! provides are very useful as well. As a retailer, it’s great to view our sales margins and open orders to see what we’ve sold for the day. ACCTivate! provides that information in their Product by Product Class and Open Orders reports. We can also do counter sales. When a customer is ready to purchase, we just enter a sales order for those items, release the order for invoicing and print the invoice for the customer. ACCTivate! works great for our retail business

[03/04/2009]  The software is good but not a true inventory system. Huge setback is only allowing a single UOM for products, which is inventory 101. User interfaces are cumbersome and slow. Over the past 2 years I have seen no upgrades of significance. I understand a new version (major update) will be released, although they cannot tell us when or what features will be added.

[01/04/2007]  ACCTivate! has allowed Ugly Mug to gain control of their business so they can manage everything from inventory to a precise cost of goods sold. Before ACCTivate!, their business processes were very manual with spreadsheets and printouts. Now, with ACCTivate! they track their inventory, review customer performance and calculate cost of goods sold at a very granular level. They even calculate their coffee cost in a given bag to a fraction of a pound, for example. Ugly Mug Coffee is a small business on the rise. They made a decision to invest in their company when they chose ACCTivate! and that is an investment that is paying off. Cheers

[09/06/2006]  We bought ACCTivate! in 2004 and love it. It cut the time in half to process orders and do inventory control. We are a distributor of clothing and apparel (t-shirts, shorts, handbags) and in mid-2004 we were at the point where we thought we had outgrown QuickBooks. One of our main issues was kit products. For example, one product contains a specific size and style of T-shirt, artwork, and tag. Each piece is kept separately in inventory and we pull each piece when ordered. ACCTivate! has pulled it all together in one process and has made it very easy. Every other program that we tried couldn’t track the bits and pieces, they would only track the t-shirts, for example. ACCTivate! allows all the pieces, like hang tags and labels to be kept track of very easily. It enables us to track margins much more closely so we can determine profits and margins with more precision. ACCTivate! has been a really good investment for our company.

[09/05/2006]  I’ve been running ACCTivate! since July 2004 and love it. Everyone in our company uses the system and it helps all aspects of our business including customer service, purchasing, orders, inventory control and more. Before ACCTivate!, everyone kept track of their own information, so if someone was sick no one knew the information and we had to go through their desk to find it. Now, anyone can figure out how to help the customer, because every piece of information about the customer is kept in the system. We also centralized purchasing information, which has helped us a lot. Previously, everyone would hand-write purchase lists and there was no collective knowledge of what was on each person’s list or even how many lists each person had. This old system gave us no tracking information, no history, nothing. Now, all that information is sitting in ACCTivate! and we can get it at any time. For the money, ACCTivate! is a very great value when comparing all the features for the price you pay. We looked at larger and more expensive systems, but they were not as good of a value as ACCTivate!.

[08/31/2006]  We are a wholesale automotive repair equipment, mostly tire changers, wheel balancers and lifts, across the country. We started up over 2 years ago with one location using QuickBooks and spreadsheets to handle the inventory. Once we realized that we needed more help with inventory, we looked at all the options and bought ACCTivate!. We're very happy with our decision, especially when it comes to tracking serial numbers and warranty information! ACCTivate! handles this better than we could have hoped for. We are always in ACCTivate! and find it to be easy to use. We process anywhere from 75 to 100+ orders per day and have done up to 150 orders in a day with only one order entry clerk. We now have our HQ in Massachusetts, our main warehouse is in Texas, we have satellite warehouses in Tennessee and Massachusetts and our server (where ACCTivate! runs) is kept off site. Everyone logs into ACCTivate! through a secure terminal server connection and we never have any problems with the system.

[08/14/2006]  Before ACCTivate!, we bought an expensive all-in-one system that was a nightmare and lasted only 6 months. In 2004 we bought ACCTivate! and got more features and power for a fraction of the price. We’re convinced now that it’s much better to keep the accounting system separate from the inventory and operations system.

Our company sells parts and accessories for tractors and other agricultural machines. Being parts intensive, we are extremely pleased with the ability to sell parts by kits and aliases. For example, we'll stock a part that is sold under different names. With ACCTivate! we can sell it by one name, track and ship by another and the customer never knows the difference. Not only that, it was very easy to setup and maintain.

We also keep track of our inventory better than ever and have good customer information for reporting and analysis. It’s allowed us to move from doing $350,000 in business 2 years ago to over $1,000,000 today. All without adding much staff.

Before we bought, we looked at all the software in this class and came to the conclusion that ACCTivate! offered the best value for the price. We are very happy with ACCTivate! and plan to keep the system for a long time.

[08/07/2006]  Our company sells specialty lawn and garden tools to major big-box retailers and garden centers across the country, sometimes 400-500 orders per day. Our old system was not automated, everything was done manually, which was awful. What used to take an hour, ACCTivate! can do in 10 to 15 minutes. Processing orders went from an eight hour day down to two hours. We also have seen gains in being able to keep track of orders, inventory and shipping. For example, when a customer calls we can tell them right away when their order shipped and give them a tracking number instantly. ACCTivate! has been a very wise investment for us and we strongly advise companies to look into it themselves.

Overall, the system is user friendly and has helped us through our day-to-day business. The support staff did a great job with helping install the software and the implementation process was seamlessly easy. The real push and drive for us is in the inventory management system. It gives our company the capability to create a flow of data to third party carriers that is electronically formatted and easy to keep up with. The overall benefits are worth far more than the system's cost. ACCTivate! helps us keep our promise of on-time delivery and error-free shipments. ACCTivate! has helped us get organized so we can grow. Before, we never really knew what our inventory levels were. Now, we have a full picture of what is on hand, available to ship and what is on order. All from one screen.

We also have 30 different variations for some products and each spec is a little different. It’s much easier to keep all of the information in one system. When a customer calls in to get those specs, it’s all right there at our fingertips in ACCTivate!. It’s easy.

Because we're so organized now and have an easy time keeping track of customers, we're able to focus on our business. Our general revenue for 2006 will be just under $2 million. Next year we’ll triple that number. Our goal for 2008 is $10 million. Without ACCTivate! this would have been impossible.

We’re managing the entire customer process in one place - from sales opportunity through quotes, orders, delivery, and follow-up. With the shared data base, any Customer Sales Representative can help any customer. We’ve reduced time on the phone and call-backs. The complete information about sales orders and associated purchase orders has eliminated the problem of delivering incomplete orders to our customers. In our make-to-order business, tracking the request date and promised ship date of each item on each order is crucial to customer satisfaction and profitability. We love Crystal Reports for creating our own reports and forms. The ordering process is much faster now because of features like the pull-down menu for selecting product options and the ability of our staff in three locations to quickly access any information about customers, sales orders, vendors, and purchase orders. The ACCTivate! staff has been very helpful in the installation process. They have listened to us and helped us select and use the appropriate capabilities of the system to meet our needs.

Staff time has been freed up because all system activities go faster, including quotes, sales orders, and purchase orders. ACCTivate! has also helped us increase sales and improve customer service. We use special reports that were generated through the Crystal reporting capability to track the fulfillment of open orders and to follow-up with customers when it’s time to re-order. Our company is an Atlanta area supplier of papers, rolls, and ribbons for business printers. Six of our employees regularly use ACCTivate! We have been very happy with all features of the system and with the support we received from the ACCTivate! staff both during and after the implementation period.

[07/27/2004]  We’re a restaurant and bar supply distributor handling over 6,000 items. ACCTivate! has been an outstanding system for us. We’ve cut order processing time in half, reduced mistakes, and improved customer service. The rapid access to any information about an item or customer is especially helpful. We can quickly find full information about any item while the customer is on the phone - often, we’re given only a product name or description, not an item number. We can easily move from screen to screen to get a complete picture of a customer, item, sales quote, or purchase order, including history data. We extensively use the pop-up notes feature to keep us aware of customer preferences and characteristics – such as “Likes deliveries between 3:00 and 4:00pm”, or “Generally uses the 16oz., not the 30 oz. size”, or “Be sure and check credit before confirming order”. We also like the very flexible Crystal reporting system for creating special reports. We’ve used it to quickly design and implement customer delivery documents and invoices tailored to our business. The system is also integrated with QuickBooks for financial reporting. We have seven users of the system in our small company, including the Sales, Customer Service, Purchasing, Warehouse, and Accounting functions. We’ve found that ACCTivate! can be installed quickly and the ACCTivate! customer support staff has given us excellent support. ACCTivate! has helped us to be more efficient, more accurate, and more competitive.

We handle over 180 sales orders per day, have more than 4,000 customers, and maintain over 9,000 part numbers in our data base, with new parts added every day. ACCTivate! has dramatically improved our business by providing highly useful capabilities for end-to-end inventory management and responsive customer service. We can now track every part number at all stages and have a true, detailed picture of our inventory. A major improvement with ACCTivate! has been the ability to provide instant information to customers about the detailed status of any aspect of their orders or our inventory position. We can now instantly retrieve sales orders by customer name, item description, customer part number or our own part number. We can drill into inventory status, find out what’s on-hand, back-ordered, on-order with our own production facility or with vendors, and confidently quote delivery and availability. And access to UPS shipment tracking can be done at any time as this function is imbedded within the system. The product cost information in ACCTivate! enables us to knowledgeably price items requiring customization while the customer is on the phone. We are using the versatile Kitting function to enable us to include both the Customer Part Number and our own Part Number in our system so that we can print labels, sales orders, invoices, and other documents with the specific information needed by us and our customers. With the Assembly function of ACCTivate!, we are better managing the inventory of parts that often require further processing steps to meet individual customer needs. We now have full visibility of the tools in stock, the Assembly orders to add the coatings required, and the costs of additional processing. We have found ACCTivate! easy and convenient to use. It has a certain logic that is easy to understand for anyone with an understanding of business operations. The Crystal reporting system that comes with ACCTivate! is very flexible and allows us to mine our database and print reports customized to our needs. We regularly use reports of Back-orders, Open Orders by Customer, and Inventory Re-order Management as essential tools for managing our business. For several years we used almost every feature of QuickBooks for both the financial and operational functions of our business. However, we found that QuickBooks couldn’t tell us our true inventory position nor provide us the complete information we need to properly manage our business. QuickBooks now works well for us as a financial reporting system tightly integrated with ACCTivate!. The ACCTivate! support staff provided us outstanding service during the conversion. The relevant information in QuickBooks was imported to ACCTivate! without loss of data. The QuickBooks financial data base and the ACCTivate! operational data base are kept synchronized without problems. We were able to convert during a period of rapid growth while improving control over our business. We are very pleased with our decision to use this product and can highly recommend it to any company that needs a full and detailed picture of their inventory and a tool for providing superb customer service.
