Not ideal for small-to-medium QB-based businesses

[02/28/2011]  We began implementing MAX/Quickbooks and spent about 6 months trying to make it work for us. We had heard that all MRP/ERP transitions are hard, but it seemed abnormally hard. After pausing and evaluating another solution, we realized Exact MAX was not the right solution for us (a company of about 50 people, 25 of which are in Manufacturing). MAX on its own may be a useful product for medium-to-large companies. Quickbooks on its own is aimed at small-to-medium companies. There is very little practical overlap between these solutions. There are several reasons for this: * Unnecessary Complexity: MAX is a 25-year old solution; while it has been updated and patched over the years, it is inadequate for a small, fast-moving company. It uses old, complex conventions, and has many data-entry dependencies that aren't really applicable anymore. * Support cost: MAX's age and complexity mean there is a high (by our standards) support cost. We never saw a path that got us away from the need to pay consultants to keep the system running smoothly; we didn't feel like we would ever "own" the solution. * Data integrity: The solution that bridges critical data between MAX and Quickbooks requires an application to be running on the client PC (as opposed to the server) and is both buggy and error-prone. While the team implementing this solution was quick to fix bugs, even normal operation of daily processes was complex and could easily lead to data not making it across the gap. There is no automated audit trail for the financial data being sent from MAX to Quickbooks. One advantage MAX has over many other MRP solutions is an Engineering Change Control module built in. After some effort, we got this to work well for us. However, it was not enough of a benefit to outweigh the issues above. We would advise any company considering MAX to strenuously ask for a complete demo of the solution (including the Quickbooks integration) before they commit.
