This software paid for itself in two hours

[08/28/2009] I purchased this software to merge two QuickBooks data files after one got corrupted and had to be sent to Intuit for repair. For the week that it was in repair, I used a backup. Hence the need to merge the two when the repair was complete. WOW, this software did exactly what I needed, it integrated over 250 transactions in less than two hours. It saved me countless man hours of reentering data into QuickBooks. I highly recommend it!

Exactly what I needed

[02/14/2009] I had to combine three different QuickBooks company files into one and was dreading the time it was going to take to individually enter in each item from the last year. I looked everywhere and was surprised that there wasn't an obvious answer to my problem. Mr. Irvin's Data Utility Transfer was exactly what I needed. I actually found it off a review on this website. He answered my questions via email quite promptly and was very helpful. I thought the price was fair for the time it was going to save me! As long as you follow the instructions, it is fairly simple to use and well laid out. There are still some items that have to be entered in by hand, but that is insignificant to what it could have been. I know there are other uses for this product that I didn't use it for, but for my purpose, it accomplished the task 100%. I highly recommend it.

Very Useful Tool - By QuickBooks Proadvisor

[04/26/2007] General:
I think it’s for professional use. The end-user should plan on getting training from a ProAdvisor with relevant experience before using. It’s more functional than it is “pretty”. Be sure to limit your record import to around 4,000 records at a time (manual says something like this).
Advantages:
1. If you want to “rebuild” a QuickBooks file or start over, and want to get detailed history, this utility saves a lot of keyboard and development time.
2. The utility does not reject records as easily as other packages (it’s not as picky – a good thing).
3. Support was through email. I considered it responsive. Received help on the weekend, which was very helpful.
Disadvantages:
1. This product works best by going in chronological order for a given type of transaction (“check” for example). Once you’ve imported all checks for a date range, don’t do it again.
2. Don’t expect to search for “changed” transactions in an old file and import into a new file. For example, lets say you have 2 QuickBooks files exactly the same through December 2006. Go back and add a check in March, 2006 on the 1st QuickBooks file. The utility will not be able to grab the check from the 1st file and bring it to the 2nd QuickBooks file (it will grab all checks having the same date, doubling your data). The same would hold true on ‘changed’ transactions.
3. This utility works best with date cut-offs. For example, you would grab transactions after a given cut-off date. If you try to get transactions before the cut-off date, you will grab all of them, doubling your data.
4. There is no “link’ between invoicing and the sales order in terms of quantity. Assume you have a Sales Order for 1000 units. If you’ve invoice 500 of them, the utility will still show 1000 being open on the original Sales Order.
5. No payroll transactions can be imported; this is understandable.
6. No Inventory Adjustments can be imported.
Developer Response:
For disclosure, I am the developer of this progam and have the following comments about the disadvantags noted. The numbers below relate the reviewers comments
1. You don't have to limit transfers to just one transaction type at at time.
2. You can add that check in March and transfer just it. There are two ways to do this. You can filter by check number or you can filter by date added to the QuickBooks file instead of the transaction date.
3. See point 2 above.
4. A later version of the program, now transfers the net 500 invoiced items.
5. We have a different program that can transfer payroll checks (it imports them as regular checks).
6. Inventory Adjustments can be transferred. This was in versions 5 and 6 but not in an early release of version 7 which the reviewer apparently used. This is now in version 7 now.

Must have Software!

[10/31/2005] If you have several clients, this is a must to own software! I highly recommend it; the user friendly interface and instructions are simple and self explanatory. Once you watch the videos you can have data transferred within seconds and review reports. The instructions are elementary and the service is quick with response. I called for information and had to leave a message. Karl returned my call shortly there after and speaking with the creator of the program got straight answers which I immediately purchased the software and started transferring data ASAP. Thanks for the quick response in service and the great software needed for QuickBooks Users. Support and Service come first in any purchase I make today and you get it here!

[10/26/2005] Once I learned how this product worked I found it to be just what I've been looking for. The video instructions on the web site made all the difference. All it seems to be missing is the ability to transfer payroll cheques. This has proved to be a valuable tool for my business and supporting my clients. Thank You for this.

[02/09/2005] This is the second transfer utility I have tried. It is hands down the easiest and most efficient. The export and import reports it generates leave you in no doubt as to what happened. The instructions were clear. The support via e-mail was excellent. And, you certainly can't beat the price.
I had the gargantuan task of combining two huge files into one - complete with payables, receivables, job costing, etc. As directed I backed up before each set of imports and when there was a glitch (caused by me) I simply restored my file, fixed my parameters and went on.
I bought this utility for combining these files but I now see so many other uses for it. A little training for staff and we'll be a lot more efficient in a lot less time because of this very useable utility.

Perfect solution to desired outcome!

Overall Rating:
[11/25/2003] I recently had a client who hired a sales rep at a remote location. This individual was to only enter sales orders and purchase orders with all other accounting activities, including invoicing and paying bills, to be handled at the main office. After testing the Data Transfer Utility program for this purpose, I found that it worked seamlessly, and I was very pleased to be able to recommend it to my client. Sales Orders and Purchase Orders are recorded at the remote location and are then transmitted daily via email. Once the data is imported into the main company file, invoices and bills are completed directly from the information imported. Another benefit to the application and the way this company has chosen to have it set up, is that transmittal is one-way. The remote server has no access to confidential financial information. Of course, QuickBooks does offer password protection features to limit access as well, however, my clients feel more secure in knowing that absolutely no financial information is contained in the data file located at the remote location.
I did have a couple of questions regarding the product prior to purchasing it, and the customer support via email was extremely prompt and helpful. To be honest, the response time via email was far more efficient than the lengthy holds with customer support via telephone which I have endured with some other companies!
I can think of numerous scenarios in which this program will be a wonderful solution, and I look forward to recommending it to more of my clients as the need arises.
Since I have never used a similar application, my ratings reflect my satisfaction strictly based on the application's ability to meet our desired objectives.

Data Transfer Utility Review
Gruff
Overall Rating:
[04/22/2003] For anyone that takes a laptop to a remote site and enters data in QuickBooks this program is a must-have. I found that it does exactly as advertised and does it quickly. It has certainly made a difference for one of my clients who travels to shows with a barcode reader attached to a laptop. This program is going to cut his keyboard time to a minimum
The screen for Data Transfer Utility is well thought out. It is divided into separate, related areas with good definition.
The program writer, Karl E Irvin, CPA, notes in one of the documents that this program is intended for computer-knowledgeable users, and in the present form I agree. With a little more effort in the area of help files even a novice user could take advantage of this program. It is, after all a straightforward process that just happens to require a somewhat complex set up.
Context sensitive help would be appreciated in some areas, He already shows us the ability to place message boxes on the screen: when the program first starts a box with the explanation for how to do the initial setup is displayed. Carrying this a little farther would, perhaps, give us a box next to each button on the screen with a question mark in it. Click on the question mark and a short description of the use of the button would display.
For me this would have helped with the buttons that copy information from the "Currently connected to" field to either the "Source Company" or "Destination Company" field. I had to click these a couple of times (Not without some trepidation - I wasn't sure but what I might write over my QuickBooks files!) before I realized what they do.
When you set the dates in the criteria use the format mm/dd/yy. If you follow the format shown on the screen you get an error. A line just below each box with mm/dd/yy would solve this.
The Initial Connection Box that pops up when this program starts is an excellent idea. It, unfortunately, is chopped off before the text ends. I also think the direction to close it before finishing the setup of both source and destination files is done is a mistake. Don't close it until you've finished the setup. Make sure you read and understand the process in QuickBooks for allowing automatic login of this program, it makes running Data Transfer Utility a much more straightforward undertaking.
I was pleasantly surprised at the speed with which this program transferred data. I tested QuickBooks to see if it would import some changes and it took over one half-hour. Testing using two fields in a 125mb file with Data Transfer Utility took a few seconds.
One area that worries most people is when you start copying the QuickBooks data file back and forth. Karl gives a good explanation of how to accomplish this.
Print and read the help files Karls sends with the program. Keep them handy while you set up the connection to QuickBooks. You only make the connection once, so why not take it slow and do it right?
The problems (if you can even call them that) I found in this program are so minor that you should not let them keep you from purchasing it. The time and money spent to learn it will be returned many-fold by the manual input you won't be doing in the future.
If you are looking for a program to transfer data between QuickBook files, and you are not afraid to take the time to understand how this program works, then by all means buy it. It is a great utility at a good price. Karl responds in a timely manner, both during the purchase and when sent email with questions.
