SmartScan Barcode Translator allows you to add the power of barcode scanning to QuickBooks!
SmartScan will enter data scanned from a barcode directly into QuickBooks data entry fields or it can convert the barcode value into your assigned code. An example of this conversion (i.e. translation) would be scanning a UPC code from a product you sell into the item field in a customer invoice and the having the associated product from your item list appear on the invoice line item along with the item description and price.
Barcode scanning can be used on any screen in QuickBooks where you would normally select the product or customer manually from the customer or item list. The barcodes that you scan can be barcodes that you have created or barcodes that already appear on your products.
If you have an existing item list in place and want to use a barcode that already exists on your products, there is no need to change the item code that you are currently using to scan and select the product. You can continue to use your existing item codes, and by putting the value of the barcode that you wish to scan in one of the user defined fields available in QuickBooks (i.e. QuickBooks custom fields) SmartScan is able to use that information to select the related item when you scan the barcode. As an example: you sell a product that you have assigned item code of ABCDE. The product comes with a barcode and the barcode value represents 12345. By entering 12345 in a custom field defined in your item list and attached to your ABCDE product, SmartScan is able to recognize that whenever you scan the 12345 barcode into QuickBooks, the product that you want to appear is ABCDE. Don’t worry about having to hand enter all of your barcode values into the custom field that you set up, with SmartScan you can use the barcode scanner to enter the information into the custom fields without manually keying in the values.
Along with the barcode translation, SmartScan also gives you the ability to set up screen patterns. These screen patterns tell the scanner what to do after the barcode has been scanned (i.e. set up the scanner to insert a TAB to the next data field after each scan). Screen patterns can be set up for any of the QuickBooks screens you use (i.e. Invoices, Credit Memos, Sales Receipts, Sales Orders, Purchase Orders, etc…) and multiple screen patterns can be set up for each of these screens. When you set up a screen pattern, SmartScan will tell the scanner what should happen when a barcode is scanned. Any command key or combination of keys can be added before or after the scan. This speeds up data entry and increases accuracy.
